Use of Email to notify/call an AGM

 Hi community creatures - I once read somewhere that the call and minutes of a General meeting must be sent by normal post or even by recorded delivery.

Our community has just sent out the minutes by email only - so non-electric people will be in the dark about the details of the meeting.

Anyone out there who knows about this?

Officially the call for the meeting need only be sent to your Spanish address.

Obviously, this is totally useless for anyone not permanently resident.

In our case, our administrators have just sent out a brief email so that everyone is aware that our AGM is on 11th April, although the information has also been available on our community website since 24th November.

The full agenda & official call notice will be sent later. The non residents have been trying to get earlier notification of meetings for the past year, since the community was set up. It would seem that our persistence has paid off.

You need to communicate to the person with Secretary functions in the Community, the address in Spain you want your correspondence to be sent out.  Some people use his lawyer´s address for this purpose.

Hi Jow

And welcome to the wacky world of Communities!

In agreement with Maria and Noreen the notification only needs to be sent to your Spanish address and at silly (in my opinion) date of five days before the meeting.

Like Noreen we on our Urbanisation have done everything to right this wrong and we now do it this way.

I (as President) send out the calling by email, on the website and the Community notice board.

The Administrator sends out the written calling to the address supplied by the owner, and in the main these are outside Spain.

We also give the date of the next A.G.M.  at the end of the previous A.G.M. to allow it to be recorded in the minutes and also allow owners to book flights well in advance.

You can suggest all (or some) of the above be added to the agenda of your next A.G.M. but you may be too late for this year.
